PROPERTY MANAGEMENT SERVICES

Below are details on each of the service items included in our property management services.

Tenant Communication Portal

  • The tenant communication portal is an online site unique for each property with access for the Tenant, the Property Manager, and the Property Owner.  Tenants can request service, pay rent, and review important rental documents from their portal site.  Property Managers & Owners can respond to tenant requests, view/print property accounting forms, and even schedule services.  

 

24x7 Support

  • Your tenants can call and speak live to our staff 24 hours a day, 7 days a week, 365 days a year. This allows you the freedom to take vacation or maximize time with family on holiday. If it’s an emergency, we will then get a hold of you to discuss options.  Many times we’ve found the reported item from the tenant isn’t an emergency and can be handled in the due course of regular business hours. 

 

Advertising Services

  • We list your property with a proven model for advertisements on 6 different sites to maximize exposure of your property and providing a great volume of potential tenants to choose from.  We also include optional “For Rent” signage outside your property for attracting potential tenants in the immediate area who may drive/walk by.

 

Rent Collection

  • Rent for your property will be collected via EFT (Electronic Fund Transfer) or Credit Card.  Checks are no longer an option for rent payment.  Since switching to EFT and Credit Card payments (and away from checks) we’ve seen late rent payments drop substantially.  Tenants have also appreciated the flexibility of being able to pay with Credit Card in the rare occasions when that is necessary.

 

Property Accounting

  • Understanding your property cash-flow is integral in managing and maintaining your property.  We provide on-demand reports for your property that are accessible via your online portal.  Examples of these documents are below:

 

Rental Application, Contracts, and Compliance Documents

  • We provide the full suite of documents you might need for your property and area.  This benefit provides an online application for your property, contracts that will be used for renting your property to the right tenant, and other compliance documents (disclosures) that might be required for your area.  For example, see our blog post on providing voting information for tenants in Seattle. 

 

Background Check Portal

  • When tenants are selected they are invited to provide their information to our Background Check portal (usually a $49 fee to the applicant) where we process a comprehensive background check against incomes, employment, past rental history, criminal history, etc.

 

Tenant Placement

  • Proper Rent will take care of communicating with existing tenants on move-out schedule and coordinate showing of your property to new perspective tenants. We will process all applications and background checks in order to select the best tenant for your property!  We have a record of finding quality tenants fast, and many times can manage a tenant transition with zero rental gap.

 

Move-In/Move Out Services

  • The move-in process with tenants requires thorough inspections.  We thoroughly document condition of the premises prior to new tenants moving in.  This process includes photo/video records as appropriate, as well as recording appliance model/serial numbers (which is extremely helpful to have for service calls) and inventory of any existing fixtures/property on the premises.   During move-out the same steps are followed to identify any changes in your property during tenancy.

 

Regular Inspections

  • We visit your property exterior every 2 weeks, and do interior inspections every 6 months.  An inspection report is created after each interior inspection and made available for the homeowner to review and, if needed take action on maintenance items.

 

Service Days

  • We offer and schedule routine services for our properties.  These services are offered at a pre-negotiated rate for property owners to “opt-in”. For example, before the Fall we may offer and schedule roof and gutter cleaning for a fixed fee. Because we’re ordering in bulk, we’re typically able to secure a lower rate and pass the savings on to the Property Owner.

 

Approved Vendor Access

  • We have a list of vendors that have consistently provided quality services for multiple properties. They understand the nuances of working with rental properties and are all licensed and insured. 

Repair management

  • Minor repairs and maintenance items can typically be handled by our approved vendors.  We’ll take care of the scheduling and coordinating for a wide variety of repair items.  Some repairs may require obtaining multiple quotes, coordinating multiple visits with tenants, and validating repairs are done with the quality workmanship a property owner would expect.  This is work we do as part of the Repair Management activities we offer.  We have managed everything from installing new light fixtures to remodeling a bathroom.   

 

Property maintenance coordination

  • We contract with a few vendors who provide regular lawn and garden care.  We make payments to them on your behalf (from rent ).

 

Bill processing

  • We setup payment direct to city utilities, mortgage companies, and even vendors.   The property owner can rest knowing all parties are paid on-time and accurately each month and remaining balances are either kept in an escrow account or deposited in the property owners account.
